Initial Situation

Administrative tasks such as bookkeeping, HR administration or regulatory reporting take up an average of 6.9 % of working time in German SMEs – markedly more than in large companies. AI could save significant time here, but SMEs currently lack an overview of

• which of their processes are actually suited to AI,
• which technologies are appropriate, and
• whether implementation pays off economically. It is this missing overview – not a lack of capability – that keeps many companies from tapping into existing potential.

Solution Approach

A digital AI navigator is being developed as part of the ‘AIM4Admin’ project that gives SMEs exactly this overview: it shows which administrative processes are suited to AI, which concrete AI solutions fit, and what steps are needed for successful implementation. A final profitability analysis also provides a clear basis for decision-making. All components are developed together with companies from industry and academia and tested in real-world use cases.

Expected Result

The central result is the AI Navigator: a free, web-based tool that guides companies from process analysis through the selection of suitable AI solutions to a profitability assessment. An accompanying handbook makes it easy to use even without prior expertise, and a continuously updated overview ensures the tool stays current as AI technology evolves.
